Time Clock & Compliance

Technicians clock in and out, take lunch and breaks, and tie time to jobs—while managers review entries, enforce rules, and run compliance reports.

Overview

Tracking includes four related areas:

Time entries can capture GPS location on clock-in, clock-out, and break start (when the browser or device allows), supporting distance and location compliance checks.

How to access

  1. Sign in to ServiceFlow.
  2. Open Tracking from the main menu.
  3. Use the sub-navigation bar:
    • Time Clock/tracking/time-clock
    • Time Management/tracking/management
    • Compliance Reports/tracking/reports
Technicians can also reach Time Clock from the user menu shortcut when enabled.

What you can do today

Time Clock (self-service)
  • Clock in / clock out with optional job selection and notes.
  • Start/end lunch and start/end breaks.
  • View today’s entries and weekly hour summary.
  • See current clock status (in, out, on lunch, on break).
  • Capture geolocation on supported actions.
Time Management (admin/manager)
  • Tabs: Approvals, Job time, Summary, Entries, Rules.
  • Approve or reject pending entries; admin-edit times.
  • Configure time clock rules (lunch windows, overtime thresholds, location requirements).
  • Business time summary reports by date range.
  • Auto-approve settings where configured.
Compliance Reports
  • Run reports for a date range and optional user filter.
  • View violations: missed/short lunch, overtime, rapid punch, missing location, distance exceeded, etc.
  • Inspect violation detail modals and export/download where offered.

Prerequisites

  • Time clock feature enabled for your business (confirm under Time Management → Rules if punches fail).
  • Technicians need accounts and mobile or web access to Time Clock.
  • Managers need permissions to approve entries and view reports.
  • Location-based rules require technicians to grant browser/device location permission.

Step-by-step

Clock in for the day

  1. Go to Tracking → Time Clock.
  2. Click Clock In.
  3. Optionally select an active job and add notes.
  4. Allow location if prompted—required when your business enforces geo rules.
  5. Confirm success; status shows as clocked in.

Take lunch or a break

  1. While clocked in, choose Start Lunch or Start Break.
  2. End the period with End Lunch or End Break when returning.
  3. Review entries in the today list for accuracy.

Approve team time (manager)

  1. Open Tracking → Time Management (/tracking/management).
  2. Start on the Approvals tab.
  3. Review pending entries; Approve or Reject with a reason.
  4. Use Entries to search history; Summary for payroll-oriented totals.

Run a compliance report

  1. Go to Tracking → Compliance Reports (/tracking/reports).
  2. Pick a date range (and user if filtering).
  3. Review violation counts by type and severity.
  4. Open individual violations for entry details.
  5. Export or download if your role shows export actions.

Configure rules

  1. In Time Management, open the Rules tab.
  2. Adjust lunch duration, overtime limits, location requirements, and related settings.
  3. Save—new punches are evaluated against updated rules.

Current limitations

  • Time Clock in the web app depends on browser geolocation; native mobile apps may offer better background tracking.
  • Compliance logic reflects configured rules—custom labor law scenarios may still need external payroll review.
  • Not all businesses enable auto-approve; backlogs require manager action on the Approvals tab.
