Parts Network

Overview

Parts Network connects service businesses (buyers) with warehouse / supplier businesses on ServiceFlow. Warehouses publish categorized price book items to selected buyer industries. Buyers browse those catalogs, import SKUs into their own price book for estimating, and place multi-supplier orders with stock held until the warehouse accepts or fulfills.
Company type (Service vs Warehouse) is separate from your industry (for example garage door). Industry controls who can see listed parts; company type controls whether you sell or buy on the network.

You need the Parts Network permissions your admin assigns (supplier_network read / write / manage).

What you can do today

Service businesses (buyers)

  • Browse published parts filtered to your industry (and linked or publicly listed warehouses)
  • Add lines to a multi-supplier cart and checkout once
  • Import a supplier SKU into your price book (cost + sell markup) for job estimates
  • See network orders and matching purchase orders for receiving

Warehouse businesses (suppliers)

  • Set company type to Warehouse / supplier
  • List price book items on the network with category and target industries
  • Invite buyers (links) or enable public listing for matching industries
  • Accept, reject, or fulfill network orders (stock reservations update accordingly)
  • Optionally sync a catalog from an external API and receive optional order webhooks

Prerequisites

  • Buyers: active link to a warehouse or a warehouse with public listing; industry set under General Settings
  • Warehouses: company type = Warehouse; category required on every listed item
  • Staff roles with Parts Network permissions

Step-by-step

Become a warehouse supplier

  1. Go to Settings → General → Company type.
  2. Choose Warehouse / supplier and save.
  3. Open Supplier Network in the sidebar.
  4. In Price Book, edit an item → enable List on Supplier Network, set target industries, and set a category.
  5. Invite buyers from Supplier Network (or turn on public listing in supplier settings).

Shop and order as a service business

  1. Open Parts Network → Suppliers.
  2. Subscribe to warehouses that list parts for your industry (one click — no invite token).
  3. Open Browse to search their catalog; use Import for your price book or Add to cart.
  4. Review the cart (lines may come from multiple warehouses) and Checkout — you and each supplier get confirmation emails.
  5. Track the order under My orders. When the supplier fulfills, stock is received into your inventory automatically. If they send an invoice, use Pay invoice on the order row.

Fulfill and collect payment as a warehouse

  1. Open Supplier Network → Network orders.
  2. Accept the order (stock stays reserved), then Fulfill when you ship — that ships your stock and receives the buyer’s PO.
  3. Click Send invoice (requires Stripe or Helcim under Settings → Payments). ServiceFlow creates a normal invoice with tax, emails it to the buyer, and includes a link to pay that invoice.

Sync an external supplier catalog (warehouse)

  1. Open Supplier Network → Catalog sync.
  2. Enter the partner API URL, auth type, credentials, and field mapping (SKU, name, category, price, etc.).
  3. Set a cron schedule if you want automatic pulls, then Save and Run sync.
  4. Synced items are upserted into your price book and listed when they include a category.

Tips

  • Empty target industries on a listed item means all buyer industries can see it (still subject to link / public listing rules).
  • Checkout creates a buyer purchase order per supplier for receiving and costing.
  • Platform admins can create warehouse businesses and onboard API-only partners from the admin Businesses page.

Current limitations

  • No in-app payment between buyer and supplier yet (use net terms or offline payment).
  • Inventory is never shared across businesses—only reservations and orders link them.
  • There is no public SEO marketplace; Parts Network is in-app only.
